Front Desk Coordinator
Job Responsibilities include but are not limited to:
Welcome patients and ensure patient satisfaction by following up with any requests or questions.
Ensure all patient emails, calls and texts get answered in a timely fashion.
Answer incoming calls and answer or document questions from patients for a timely follow up.
Keep track of invoices and charge patients for any outstanding bills.
Schedule new patient’s appointments and arrange appointments for follow-ups.
Create new patient e-records and make sure electronic intake forms are signed.
Assist with ordering supplies and equipment if necessary and assure the office area, reception area and entry area are kept clean and organized.
Appointment Scheduling & Reminders
Handling patient bookings, rescheduling, cancellations, and sending automated reminders to reduce no-shows.
Patient Intake & Registration
Collecting and organizing patient demographics, insurance details, and medical history before appointments.
Medical Billing
following up on unpaid invoices and tests
Customer Service & Patient Support
Answering patient inquiries via phone, email, or chat—addressing questions about services, directions, or policies.
Electronic Medical Records (EMR) Management
Updating, organizing, and retrieving patient records in compliance with HIPAA and clinic protocols.
Telehealth Support
Setting up virtual appointments, troubleshooting basic tech issues, and guiding patients on using telehealth platforms.
Prescription Refill Coordination Test kit ordering
Communicating with pharmacies and providers to manage refills or follow up on medication-related requests.
Follow-Up & Patient Retention
Conducting post-visit follow-ups, satisfaction surveys, and wellness check-ins to enhance patient engagement.
Administrative Tasks
Handling tasks like data entry, inventory tracking, preparing reports, and coordinating with vendors or labs.
Strong customer service skills capable of having professional phone conversations and answering emails in a professional and clear way.
Being able to prioritize when several tasks need to be completed.
Candidates must be proficient in Microsoft Office, Outlook, Word, Excel and General computer skills such as working with several applications at the same time (Windows), clinical portals, calendar, email, etc.
Experience with videoconferencing apps such as Zoom and Teams.
Being able to navigate different file systems like Dropbox or OneDrive.
Very strong organizational skills.
Being able to work with other members of the team, including clinical personnel.
Additional responsibilities may be assigned as needed based on evolving operational requirements and process improvements.
